Which kinds of home care organizations do you work with?
Agencies with 5 to 200 people: licensed non-medical home care organizations, plus home health and hospice agencies. Each has scheduling, HR, and intake work AI can take on, and client data that needs approved tools.
Does HIPAA apply to a non-medical home care agency?
It depends. HIPAA covers health care providers that send health information electronically in standard transactions, like insurance claims. Many private-pay agencies fall outside that, while home health and hospice agencies that bill Medicare usually fall inside. Either way, we set up AI as if HIPAA applied.
Can our office put client notes into ChatGPT?
Only into a tool your agency has approved for client data. Free consumer accounts can train on what you paste. Most agencies approve one business tool, limit what goes into each task, and keep diagnoses and addresses out of drafts.
Can AI help us fill open shifts?
Yes. For one Orange County agency, AI reads the schedule exports, client notes, and caregiver roster, then proposes who fits each open shift. Time per household dropped from about 5 minutes to 39 seconds, an 87% cut. The scheduler still makes every assignment.
Our scheduling software has no API. Can AI still work with it?
Usually, yes. Most care platforms can export calendars and client notes. AI works from those exports, or reads the screen without changing anything. No migration and no second system of record.
Can AI screen caregiver applicants?
We don’t set it up to. California civil rights rules cover automated tools used in hiring, and those judgment calls belong with people. AI drafts offers, orientation reminders, and onboarding email, and HR reviews and sends. One agency cut HR email time 40% this way.
Does AI change how we handle electronic visit verification?
No. Under the federal Cures Act, Medi-Cal-funded personal care and home health visits still need electronic visit verification. AI can help staff spot missing visit records and draft follow-ups, but your EVV system stays the record.
Will AI replace our schedulers or care coordinators?
No. AI clears the copying and drafting: shift lookups, intake summaries, family updates, and HR email. Your office keeps the calls with families and caregivers, and every decision about care.
Do you work with agencies outside Orange County?
Our team is based in Irvine and most clients are in Orange County and greater Southern California, where we can train your office staff in person. Remote engagements work fine for the assessment and On-Going Support.
Where do we start?
It starts with a 30-minute kickoff meeting over video or in person, then a written proposal, then the on-site AI Strategy & Assessment: a tool and vendor review, a client data review, a written AI usage policy, and a prioritized roadmap.
