AI Strategy & Assessment For Home Care Agencies

In about two weeks on site, we watch how your office schedules, hires, and takes referrals. You get a written AI usage policy, an approved tool list, and a roadmap ranked by hours saved and risk.

Most of the office week is copying between screens

01

Workflow Observation

We sit with your scheduler, HR lead, and intake coordinator and time the real work, from open shifts to referral calls.

02

Client and Caregiver Data Map

Where client notes, care plans, caregiver records, and family contacts live, and which exports each job actually needs.

03

Vendor and Tool Review

The terms of every AI tool staff use or want: whether it trains on your data, how long it keeps it, and whether a BAA is available.

04

AI Policy and Approved Tools

A plain-language policy: what may go into which tool, what stays out of drafts, and who reviews before anything is sent.

Questions, Answered

What do you need from our office during the two weeks?

Time at the desk with the people who do the work, sample exports from your scheduling platform, and a short interview with the owners. We work around shift changes and caregiver call-outs.

Do you copy our client records?

No. We look at records only as needed to understand a workflow, on your systems and with your staff. The data map lists types of records and where they live, not individual clients.

Does the policy cover caregivers in the field, or just the office?

Both. Caregivers often send notes and photos from client homes. The policy says what may be shared, through which app, and what never leaves the visit, in language a caregiver can read in two minutes.

What happens after we get the roadmap?

It’s yours to act on. Many agencies start with training or one automation from the top of the list. Nothing in the roadmap assumes you buy a particular product.
