AI Strategy & Assessment For Nonprofits

In about two weeks, we learn how your grants, case notes, and donor work actually get done. You get a written AI usage policy your board can adopt, an approved tool list, and a roadmap that starts where staff time goes first.

Staff already use AI. The question is where the data goes.

01

Workflow Observation

We sit with program, development, and finance staff to see how grants, reports, case notes, and donor letters get produced today, and where the hours go.

02

Tool and Vendor Review

We list every AI tool in use, paid or free, and review each vendor’s data terms, training settings, and nonprofit plan options.

03

Client and Donor Data Map

We map where case notes, intake forms, and donor records live, which programs carry HIPAA or 42 CFR Part 2 duties, and what your contracts require.

04

Policy and Roadmap

A plain-language AI usage policy, an approved tool list, and a prioritized roadmap, written so your board can adopt them and staff can follow them.

Assessments In Practice

Questions, Answered

Who from our organization needs to be involved in the assessment?

Usually the executive director, a program lead, someone from development, and whoever handles IT, even if that is a volunteer or an outside provider. Interviews are short so programs keep running.

Will the assessment look at our case management system and donor CRM?

Yes. We review what each system stores, who can access it, and whether its AI features or add-ons send data to outside vendors. We don’t need to copy any records to do it.

What if our programs run under contracts with different data rules?

That is common. We list the data terms in each grant agreement and government contract you share with us, then write the policy around the strictest one so staff follow one set of rules.

What happens after the assessment?

You keep the policy, tool list, and roadmap whether or not you work with us again. The usual next steps are staff training, a build from the roadmap, or ongoing support.
