Which kinds of healthcare practices do you work with?

Independent practices of 5 to 200 people: medical groups, dental offices, physical therapy and rehab clinics, chiropractic offices, optometry practices, behavioral health and therapy practices, and med spas. The workflows differ, but the problem is the same: language work AI can absorb, and patient data that needs a BAA-covered tool and a written policy.

Can a physical therapy or chiropractic office use ChatGPT?

For work with no patient information, yes, under a written policy: marketing, job postings, patient education templates, and internal drafting. For notes, intake, or anything with a name attached, only HIPAA-eligible tools under a BAA, and a licensed provider signs every note.

Are AI scribes HIPAA compliant?

Several ambient documentation vendors operate under BAAs and are widely used in medical, dental, therapy, and behavioral health settings. The work is vetting the specific vendor, configuring retention, updating your notice and consent flow where needed, and training clinicians on their review responsibility.

Is a signed BAA enough?

No. Any vendor that creates, receives, maintains, or transmits PHI on your behalf must be under a BAA, and consumer chat tools without one cannot lawfully receive patient information. But a BAA only makes a vendor eligible. Your practice is still responsible for its own policies, workforce training, and minimum-necessary use, and a BAA does not stop a staff member from pasting more patient data than a task requires into an approved tool.

What does California add on top of HIPAA?

Two things most out-of-state advice misses. The Confidentiality of Medical Information Act covers every licensed California provider, whether or not they bill electronically. And since January 2025, a clinic, physician office, or group practice that uses generative AI to produce patient communications about clinical information must include a disclaimer and a way to reach a human, unless a licensed provider reviews the message first. Scheduling and billing messages are outside that rule, but it decides how patient messaging gets deployed.

Can a therapist put session notes into an AI tool?

Only into a HIPAA-eligible tool under a BAA, with psychotherapy notes kept separate from the rest of the record so they keep their stronger HIPAA protection. Practices treating substance use disorders also fall under 42 CFR Part 2. For most behavioral health practices we recommend the narrowest approved tool list and, where the volume justifies it, a private deployment.

Can a med spa use AI for marketing and consultation follow-up?

Yes, and it is one of the best first uses. Two rules shape it: identifiable before-and-after photos are PHI and need written patient authorization before they appear in marketing, and in California aesthetic procedures are the practice of medicine under physician supervision, so AI-drafted treatment claims get physician sign-off before they are published. We build both into the workflow and the policy.

Does AI work with Medicare therapy documentation?

Yes, as a drafting layer. Outpatient therapy billed to Medicare runs on certified plans of care and progress reports on a fixed schedule, and the note has to reflect the visit and carry the therapist's signature. AI drafts from the visit, the therapist reviews and signs, and the review step is written into the workflow rather than left to habit.
